JOB SUMMARY:

Clear Path for Veterans, Inc. (CPV or Clear Path), is Upstate New York’s Veteran Resource Center serving as a hub of information, programs, and services for Veterans and their families. The Facilities Manager is responsible for ensuring that the physical buildings, environment, security, equipment, and grounds are well-maintained, including being structurally sound, free from safety hazards, aesthetically pleasing, and up to code. This position reports directly to the Operations department to ensure minimal disruption to routine Clear Path daily operations as facilities tasks and projects are performed. The Facilities Manager also coordinates the work of others (including volunteers and outside vendors) to perform a variety of facilities-related tasks; the Facilities Manager may also be asked to physically perform these tasks and projects independently as needed.

PRIMARY FUNCTIONS:

Facilities Management

  1. At the direction of the operations department, schedules and coordinates the general maintenance, major repairs, and remodeling/construction projects for Clear Path’s facilities and grounds; consults with the operations department for logistical guidance and support to carry out such duties.
  2. Ensures that all building staff/volunteers involved have clear and concise direction when performing any facilities-related projects.
  3. Performs, or arranges for preventative maintenance tasks in a timely manner to keep equipment operational, this includes coordinating with program directors and managers regarding facility-related needs in their work areas.
  4. Coordinates maintenance activities and workers engaged in contracted projects, security, equipment installation, facilities equipment repair, and preventative maintenance.
  5. Coordinates and physically performs as needed, lawn and landscape care including lawn care, and snow removal.
  6. Responsible for scheduling, coordinating, and physically performing as needed, all custodial services for offices, public areas, and restrooms to include sweeping, vacuuming, carpet cleaning, window washing, and dusting to ensure Clear Path facilities are always “tour ready.”
  7. Ensure that the physical setup, layout, and breakdown of special events (tents, chairs, tables, etc.) is accomplished in a timely manner and with good use of volunteers. Ensure events are maximizing the use of space and follow all safety guidelines.
  8. Ensure all storage areas are safe, clean, and well maintained, and organized. To include but not be limited to, storage closets, woodshop, cold storage building, tool storage building, and stand-alone sheds.
  9. Recruit, coach, counsel, and train volunteers for the purpose of optimizing their skills and efficiency of the duties they will perform.
    1. Those duties include, but are not limited to, performing building maintenance functions such as grounds maintenance, repair, painting, cleaning, and any other activities needed to maintain the facilities and grounds.
  10. Ensure all workers use necessary safety equipment and that all work is performed in a safe manner.
  11. Responsible for scheduling and coordinating all maintenance and repair for the Puppy Development Center residence.
  12. Attend and participate in all Clear Path event-specific committee meetings such as but not limited to Red, White & Blue BBQ; Ride for Clear Path; Tour de Clear Path as requested.

ADMINISTRATIVE AND MISCELLANEOUS:

  1. Daily coordination with operations department regarding any facilities-related projects or tasks that have the potential to cause disruption to daily Clear Path operations.
  2. Responsible for procuring and maintaining Clear Path owned vehicles (Soldier On provided vehicles excluded) and outdoor equipment.
  3. Ensure appropriate trash and recycling disposal. Educate staff on proper disposal methods.
  4. Respond to alarms and resolve emergencies, including being on-call outside of what might be considered normal business hours.
  5. Work with operations department to ensure efficient operation of all office computers, internet, and phone equipment.
  6. Perform any other duties necessary to maintain the facility, buildings, and grounds, or as directed by management.
  7. Complete other related duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  1. BA in Construction Management/Business preferred. High School degree or equivalent required. A minimum of four (4) years’ work experience coordinating and/or performing duties in a related discipline.
  2. NYS Building Code Enforcement Officer Certification or must enroll in certification course within one (1) year of Employment with Clear Path for Veterans. Successful completion of the NYS Building Code Enforcement Officer Certification course is required to maintain employment in this position.
  3. This position requires the ability to work a flexible schedule, including non-traditional hours, and be on-call, as necessary.

SKILLS, KNOWLEDGE, AND ABILITIES NEEDED TO PERFORM EFFECTIVELY IN THE POSITION:

  1. Working knowledge of buildings and mechanical systems; maintenance and repair methods; tools and materials.
  2. Knowledge of landscape maintenance is sufficient to direct external help or physically perform independently.
  3. Familiarity with local building codes and safety regulations.
  4. Excellent interpersonal and communication skills.
  5. Ability to motivate others and manage complex relationships with volunteers, contractors, and consultants.
  6. The ability to evaluate issues and suggest appropriate solutions.
  7. Flexibility to work well within changing priorities and situations.
  8. Ability to work with a diverse group of people.
  9. Strong organizational and prioritization skills; attention to detail.
  10. Writing skills sufficient to draft letters, memos, and other professional correspondence.
  11. Computer literate with basic skills to use the following Microsoft Office applications: Word, Excel, and PowerPoint. Knowledge of Salesforce preferred.

ADDITIONAL REQUIREMENTS:

  1. Valid New York State driver’s license and must have use of a reliable vehicle.
  2. Required to travel daily as needed in varying weather conditions.
  3. Work evenings and weekends as needed.
  4. Must be comfortable with dogs in the workplace.

JOB-RELATED PHYSICAL ABILITIES NEEDED TO PERFORM THE JOB IN A SATISFACTORY MANNER:

Requires constant physical movement and the ability to be on feet for extended periods of time. Subject to frequent bending, kneeling, standing, lifting, and moving of materials. Ability to lift and/or move up to 75 pounds and climb ladders. Could be subjected to inclement weather, including cold and heat.
