Job Summary

Clear Path for Veterans is Upstate New York’s Veteran Resource Center serving as a hub of information, programs and services for veterans and their families. The incumbent of this position is responsible for supporting our mission of maximizing overall holistic warrior care and wellness by maintaining professional, clear, and consistent communication with each Canine Program client. The Client Services Coordinator is the primary contact for clients. This position identifies and provides additional support, as needed, for clients participating in the Canine Program. Additional support may include, but is not limited to, guidance throughout the program enrollment application process and referring clients to other programs and services on a case-by-case basis. This position engages and works with the Canine Program team to maintain, develop, and improve upon systems and process to increase efficiency across each program.

Primary Functions

  1. Review all Canine Program client applications and follow-up as needed.
  2. Schedule and conduct interviews with client candidates in person or via other communication methods.
  3. Communicate effectively and frequently with current clients and prospective clients on the waitlist to manage expectations and monitor client needs.
  4. Respond to inquiries regarding potential clients, active volunteers, and supporters.
  5. Actively follow-up with Canine Program graduates as necessary, in accordance with Canine Program follow-up procedures.
  6. Develop, monitor, and distribute client improvement surveys to be included within our ongoing data collection.
  7. Schedule Public Access Recertification tests with clients as needed.
  8. Function as the main point of contact for all clients entering the Canine Program.
  9. Responsible for all scheduling and administrative tasks in support of the canine fostering program.
  10. Redirect clients to alternative programs and resources as necessary, to meet individual goals or to pursue other programs.
  11. Maintain accurate records and log all communication with clients using electronic database software.
  12. Work in conjunction with the Behavioral Health Consultant to discuss client enrollment and other supportive alternatives should canine program enrollment be unsuccessful.
  13. Create and submit reports on a quarterly basis to the Canine Program Director.
  14. Develop realistic timelines to meet strategic and operational goals.
  15. Return all client correspondence within 48 hours; 24 hours if urgent or a complaint.
  16. Attend and actively participate in departmental and organizational meetings.
  17. Represent or assist in representing Clear Path for Veterans at a variety of community outreach events and other activities (tabling, guest speaker events etc.).
  18. Complete other related duties as assigned.

Education and Experience Needed

  • Bachelor’s degree required.
  • A minimum of 1-2 years of professional experience working with the Veteran population preferred; 1-2 years + experience in case management of Veterans preferred.
  • Experience with Salesforce preferred.
  • Experience working with or maintaining extended associations with Veterans required.
  • Experience working with non-profit organizations preferred.

Skills, Knowledge, and Abilities Needed to Perform Effectively in the Position

  • Excellent interpersonal and communication skills.
  • Knowledge of Military and Warrior culture.
  • Ability to understand and work with PTS, MST, and TBI in Veterans.
  • The ability to be compassionate yet firm and exercise good sound judgment.
  • Strong organization and prioritization skills; attention to detail.
  • Strong ability to problem-solve.
  • Writing skills sufficient to draft letters, memos, and other professional correspondence.
  • Computer literate with the ability to operate basic office equipment; good MS skills to include Word, Excel, and PowerPoint.
  • Ability to exhibit passion and support for the mission of Clear Path for Veterans within the community.

Additional Requirements

  • May be required to travel and work flexible hours to include weekends as needed.
  • Participate in special events as required.
  • Maintain cleanliness and functionality of designated workspace.

Work Location

As a Canine Program team member, work locations will vary depending on day-to-day tasks and responsibilities. Active attendance at Clear Path for Veterans main location will be required when not conducting off-site tasks.

Job-related Physical Abilities needed in order to perform the job in a satisfactory manner

Must possess speech and hearing sufficient for telephone and in-person communications. Manual dexterity sufficient for constant use of computer keyboard and other office equipment. Vision sufficient for frequent use of a computer monitor, developing and reading paperwork. Must be able to stand and be actively mobile for extended periods of time, including bending, stooping, reaching, running, balancing, etc. Must be able to lift a minimum of 35 lbs.
